Regional Enforcement Services department – Community Services division

Schedule:             Monday – Friday, 8:30 a.m. – 4:30 p.m.

The County of Grande Prairie No. 1 is seeking an Administrative Assistant to provide .8 administrative assistance to Regional Enforcement and .2 to Regional Fire Service as well as providing back-up support to the Community Services front counter and Emergency Management when required. The incumbent will be required to pass a full RCMP security and reliability screening.  This position will work closely with, receive training from, and, on occasion, take direction and delegation of tasks from another Administrative Assistant.      

The duties will include; but are not limited to:

  • Maintaining records management system including electronic and physical filing;
  • Liaise with Courthouse, RCMP, Crown Prosecutors Office, and Lawyers offices.
  • Assist Enhanced RCMP with DARE program coordination;
  • Preparation of required month end reports including processing accounts receivable memos for service contract communities;
  • Checking and entering violation tickets in database;
  • Provide administrative assistance to Enhanced RCMP and Level 1 and 2 Peace Officers.
  • Administering and tracking AP invoices, Purchase Orders, and AR memos for department.
  • Preparing monthly court dockets, warrants, court briefs, and processing daily court documentation.  
  • Maintaining records of department shift schedules and court/trial schedules
  • Conducting insurance inquiries and preparing accounts receivable memos for the Fire Service;

The ideal candidate will possess:

  • Post-secondary diploma or degree in Business or Administration, or an equivalent combination of education and experience;
  • Experience with Criminal, Provincial and Municipal laws, judicial proceedings and procedures;
  • Knowledge of Legal terminology – police and court system;
  • Basic knowledge of Alberta Peace Officer Program;
  • MS Office (MS Word, Excel, Access, PowerPoint);
  • Experience with software including AVL, JOIN, CPIC, PROS, TRIM, AS400, GIS, QUESTICA, and SHAREPOINT
  • Excellent oral and written communication with attention to detail.
